REPORTING MEETING HELD IN THE LIBRARY OF ELBASSY

A reporting meeting was held in the Library of Elbassy, where Heads of structural units reported to the leadership on the results of work for the period from January to September this year.

- We have done a lot of work and there is still much to be done. Today I would like the Heads of Departments of our organization not only to report on the work done, but also raise their concerns, express their proposals to optimize the processes as well as to talk about plans for further development and improvement of services,  said, opening the meeting, Director of the Library of the First President of the Republic of Kazakhstan-Elbassy Amerkhan Rakhimzhanov,

Summarizing the information presented, we can note the increase in the efficiency of services, which is manifested in comparative indicators for the same periods of 2017, 2018 and 2019.

The Library Fund of the Library of Elbassy today amounts to 33,190 copies. Since the beginning of the year, the Library Fund received 1777 items. The total volume of the electronic library Fund amounted to 3568 electronic publications. During the reporting period, the traffic of the electronic catalog averaged 1400 visitors per month. The services of virtual reference service librarian@plibrary.kz benefited 204 people. In order to popularize the funds of the Personal library of Elbassy, 700 book editions were demonstrated on thematic exhibitions.

The total number of the museum collection of the Library is 11,883 units of storage, of which 603 units were taken during the reporting period. At the exposition, there are 4280 units of storage, in storage - 7603 units of storage. Over the past nine months since the beginning of the year, three thematic fund exhibitions have been prepared for the research project "Museum collection", as well as relevant catalogs and a scientific fund collection "Youth - the future of the country". 780 scientific passports have been prepared.

According to the Exposition and Exhibition Organization Service, three re-exhibitions and 60 exhibitions were held in the period from January to September this year. Of these, 24 were held within the framework of the mobile exhibition project "N. Nazarbayev: epoch, personality, society", 10 visiting complex exhibitions from the archival, museum and book collections of the Library of Elbassy, 7 - within the international project "Dialogue through culture", 4 - under the project "Museum collection", 3 exhibitions from the series of creative programs in 2019, 2 exhibitions under the project "Tugan olkem" and 2 complex exhibitions at the Library of Elbassy, 1 – within the project "On the wings of hope" and the partner project to support contemporary fine arts of Kazakhstan, including 6 mini-exhibitions on the occasion of official visits.

In the Personal Archive for the reporting period, 1226 units of accounting were received. A total of 145 842 units of accounting documents are currently in the archive, and 51 035 units of accounting of photographic documents are in processing. 1982 units of accounting documents were digitized. In total, the Insurance Fund of the personal archive is 134,280 accounting units. The total number of archival documents issued on 90 requests for 2019 amounted to 6,566 accounting units. As part of the digitalization of the archive, more than 95% of the total number of documents were electronically registered, more than 22% of electronic samples and more than 24% of electronic cards were created. Within the framework of cataloging and maintaining the electronic catalog, archival thematic collections were prepared on the basis of 130 units of accounting electronic archival documents.

In terms of technical support of the Library, special attention should be paid to the information on the introduction of 30 additional audio-radio guides in two buildings. The 3D hologram of the highest state awards of Elbassy located in the Hall of the "Presidential Exposition" in the building of the Nazarbayev Center this year was supplemented with images of 5 awards. The Interactive photo albums of Elbassy were supplemented with another album - "Zhasampaz" for 1992-1998. During the reporting period, users of the website visited the official website of the Library 15,568 times, of which 50,873 were connected from 107 countries. In particular, Russia, the United States, and Uzbekistan are among the top three leaders.

The service of excursion activity presented statistics: for 9 months of 2019 313 789 people got acquainted with the expositions and fund collections of the Library, 8 996 excursions were conducted. The largest number of excursions conducted in the Kazakh language - 54% of all conducted excursions. 41% of tourists chose Russian and 5% listened to the tours in English. About 2/3 (70%) were visitors, as part of organized tour groups, 31% of visitors wished to explore the exhibition on their own without a guide. Half of the tourists (50.58%) is the category of students of secondary, secondary special and higher educational institutions. About 14% are foreign tourists. The main part of foreign tourists are citizens of Russia and China. Also, the Museum was visited by citizens of Europe, Asia, North and Latin America, as well as a small number of tourists from African countries (Zimbabwe, Ethiopia, Egypt, South Africa, Algeria, etc.). More than 200 thousand people got acquainted with expositions of visiting exhibitions "N. Nazarbayev: epoch, personality, society", in the Kyzylorda region – 160 080 people, in the Zhambyl region - 182 016 people. 52 visiting exhibitions with total coverage of more than 7,000 people were conducted.

The Service of social, humanitarian and educational projects within the framework of research work held a number of major scientific conferences ("Nursultan Nazarbayev: the future begins today"; "From idea to reality: to the 25th anniversary of the Eurasian initiative of the First President of the Republic of Kazakhstan – Elbassy Nursultan Nazarbayev"; "30 years of leadership"; "Historical mission of Elbassy: security and stability in the global world") and round tables devoted to the Year of Youth, the Institute of Presidency and modern problems of political science. 14 scientific publications were prepared, including collective monographs, conference proceedings, collections of materials and documents, albums, information and reference publications, etc. Over the reporting period, 21 training seminars were held for 1029 students. A new format of the visiting seminar was tested – a scientific and practical seminar "Library-practicum" on the article of Elbassy "Seven facets of the Great Steppe", designed specifically for civil servants. Such seminars were held for civil servants of Kyzylorda, Almaty, Pavlodar and Zhambyl regions. This year, for the first time, volunteer hours were organized and held in 30 classes of three schools of the capital on the themes "The First President of independent Kazakhstan" and "The Capital is a symbol of statehood". 2 attestation museum lessons were held in the Interactive Educational Center of the Library and 3 lessons in the framework of the project "Tugan Zher".

The results of the activities of many services of the institution are reflected in the printed products produced by the publishing and editorial Service. Over the past 9 months, monographs, collective monographs, collections of scientific works, collections of conference materials, collections of documents, scientific collections, catalogues of museum collections, albums, catalogues of museum projects, exhibition catalogues, guides, educational and methodical complexes, teaching AIDS, practical manuals, collections of museum lessons, workbooks - a total of 33 publishing projects. 3 issues of socio-political and popular science magazine "NN Journal" with a total circulation of 3,000 copies were published.

In May this year, the International Cooperation Department of the Library of Elbassy was established, carrying out activities aimed at the implementation of strategic ideas and initiatives of the First President of the Republic of Kazakhstan in the countries of the far and near abroad. As part of the protocol support of foreign visits, the employees of the Department took an active part in the organization of the visit of the delegation of the Elbassy Library to Baku (Azerbaijan Republic) and the visiting scientific exhibition project of the Elbassy Library "Kazakhstan-Japan: the way to a nuclear-free world" in Tokyo (Japan). Within the framework of foreign visits to Japan and Azerbaijan, as well as visits of foreign guests of the Library to Kazakhstan, meetings were prepared and organized with the President of the GOI Peace Foundation H. Sayonji, the leadership of the organization Soka Gakkai International, with the executives of the Tokyo National Museum, President of the Honda Foundation Hiroto Ishida, Executive Director of the Heydar Aliyev Foundation A. Alakbarov, Chairman of the Board of the CSI of Azerbaijan, Deputy of the Milli Mazhilis Z. Oruj, etc.

Over the reporting period, 1316 publications and television stories about the work of the Elbassy Library were published in the media - 68% in the Central media, 26% in the regional media, and 6% in foreign media (Russia, Azerbaijan, Belarus, Ukraine, France, Belgium, Japan). 51.16% of news is published in Russian, 44.74% - in Kazakh, 4.10% - in other languages. In social networks, publications mentioning the Library for 9 months of this year amounted to 3261. The website www.presidentlibrary.kz published 712 news stories in 3 languages. 75 videos were prepared and posted: videos, reviews, interviews and news stories. 9 digests of international news about presidential centers, libraries, foundations were prepared and posted on the website and in social networks. An effective channel for disseminating information about the Library is the official video channel on the Youtube platform, integrated with the official website. The channel shows short films, thematic videos, and interviews with representatives of the Library and well-known Kazakh and foreign public figures, materials of educational projects, reports on scientific conferences, seminars, and public events. To this date, 246 videos have been posted on the channel.

The Heads of the Services of the Library of Elbassy also informed the management and colleagues about the work plans of the departments for the next year and long-term projects. Director of the Library of Elbassy A. Rakhimzhanov praised the activities of the institution over the past period, especially noting the contribution of employees of all services to the successful implementation of the mobile exhibition project "N. Nazarbayev: epoch, personality, society", which began its work in 2017.
